About the Role:

The daily routine of the executive assistant is rarely the same from day to day, and varies significantly depending on the priorities and time of year within the business. Typical duties include managing a complex schedule for the CEO. That includes booking meetings, conference calls and travel. You might take meeting minutes, write reports, prepare correspondence and prioritize items that need attention. General bookkeeping and good math skills are often necessary for preparing a CEO’s expense report, reconciling credit card statements or submitting billing information.

Executive Assistant to the CEO Job Responsibilities:

Conserves CEO’s time and promotes the corporate image by representing the CEO internally and externally; providing liaison between the CEO, key executives, and employees; publishing the corporate newsletter and managing the Office / Business Operations.

Executive Assistant to the CEO Job Duties:

Represents the CEO by welcoming visitors, reviewing correspondence; arranging company dinners and other corporate functions; answering questions and meeting requests directed to the CEO.
Publishes the corporate newsletter by gathering information; preparing and editing articles; designing graphic presentation; producing and distributing.
Helps key executives make consistent decisions by advising them of historical precedents; serving as liaison between them and the CEO.
Arranges corporate and personal travel for the CEO, and meetings by developing itineraries and agendas; booking other transportation; arranging lodging and meeting accommodations.
Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.
Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
Improves quality results by studying, evaluating, and re-designing processes; implementing changes.
Enhances CEO and corporation’s reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
Operations-

Responsible for office management including, but not limited to, telephone and internet services, connecting with building management, postage and UPS services, copier and all lease equipment
Analyze and organize office operations and procedures to increase efficiency and productivity
Coordinate superannuation and payroll hours for all National staff
Manage Recruitment Advertising in line with budget
Staff Recruitment Screening when requested
Staff Seminars / Training Approvals of Budget / Spend
Coordinate and produce quarterly Business Reviews, National Staff Training and Weekly Management Meetings
Manage and produce monthly public, and staff newsletters
Work closely with the Director of Field Operations and National Finance Manager to manage brand costs
Lead and facilitate invitations to all internal meetings for CEO
Assist the CEO (when needed and requested)
